Job Description

We’re looking for a proactive and highly responsive Personal Assistant to join our team. This is not just your typical assistant role! We need someone who can think on their feet, make quick decisions, and keep things running smoothly, even when the pace picks up.

You’ll be the go-to person for a wide range of tasks, from managing schedules to coordinating events, and everything in between. You’ll be the Personal Assistant to our Founder & Managing Director.

To excel in this role, the candidate is expected to;
  • Offer extensive administrative support to the Managing Director by scheduling meetings, managing calendars, and overseeing correspondence.
  • Organize and prioritize daily tasks to ensure effective time management and timely completion of responsibilities.
  • Safeguard confidential information with utmost discretion, maintaining professionalism at all times.
  • Arrange travel logistics, including flights, accommodations, and itineraries.
  • Assist in preparing reports, presentations, and other relevant documents.
  • Maintain and organize both electronic and physical files for easy access and efficiency.
  • Serve as a point of contact between departments, clients, and stakeholders.
  • Handle general office tasks requested by Managing Director
  • Provide personal assistance as required, including running errands and managing personal tasks.

The successful candidate will possess:
  • Minimum Diploma/Degree holder
  • Private Secretarial Certificate (PSC) (if any)
  • Class 3 license
  • 3+ years of proven experience as a Personal Assistant, Executive Assistant or in a similar capacity.
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Powerpoint, Outlook) and PowerBI or Tableau (bonus)
  • Ability to handle pressurizing situations & perform in a fast paced environment
  • Qualities such as swift-thinking, effective communication, multi-tasker, proactiveness & high business acumen
  • Natural, presentable and confident on screen
  • Ability to handle sensitive information with confidentiality and discretion
  • Strong problem-solving skills and attention to detail
  • Collaborative team player
